Booking Terms & Conditions
Clear, concise and customer-friendly terms for direct online bookings
Thank you for choosing Apullay Tours & Travel. Please read these terms before booking. They explain how reservations, payments, changes, cancellations, passport information, shore excursions and multi-day travel services work.
By booking a tour, transfer, activity, shore excursion, package or travel service with Apullay Tours & Travel, you confirm that you have read, understood and accepted these Booking Terms & Conditions.
1. Reservations and Confirmation
All bookings are subject to availability and final confirmation by Apullay Tours & Travel. A booking request does not automatically guarantee availability.
A reservation is considered confirmed only when we have received the required payment, all necessary passenger details, and we have sent written confirmation by email, WhatsApp or another official communication channel.
Some services, especially private tours, shore excursions, multi-day packages, Machu Picchu programs, flights, trains, hotels, boat services, restaurants or third-party activities, depend on supplier availability.
2. Prices and Currency
Prices are usually shown in United States dollars (USD), unless another currency is clearly indicated. Prices may vary depending on the number of travelers, service type, travel date, pick-up location, special requests, supplier availability, taxes, entrance fees or operating costs.
Any service not clearly listed as included in the tour description is not included in the price.
3. Payments
Payment may be required in full or in part depending on the service booked. For regular half-day tours, full-day tours, transfers and activities, full payment may be required at the time of booking or before the service date.
For multi-day trips, customized packages, hotels, trains, flights, Machu Picchu tickets, Nazca flights or services involving third-party providers, a non-refundable deposit or full prepayment may be required to secure the booking.
Any bank fees, card fees, transfer fees or payment platform charges are the responsibility of the customer, unless otherwise agreed in writing.
4. Passenger Information
Customers must provide accurate and complete information when booking. Depending on the service, we may request full name as shown on passport or ID, passport or ID number, nationality, date of birth, hotel details, flight/cruise/train information, dietary restrictions, allergies, medical conditions or accessibility needs.
For nominative tickets, such as Machu Picchu, trains, flights, hotels or special entrances, incorrect or incomplete passenger information may cause extra charges, denied access or loss of service without refund.
5. Passport Information and Tax Documentation
To issue the correct tax document, Apullay Tours & Travel may request passport information from foreign travelers.
Under Peruvian tax regulations, certain tourism services for non-resident visitors may be invoiced without the 18% Peruvian VAT/IGV when the legal requirements are met.
For this reason, we may ask for your passport number, a clear passport photo, or the official document used to enter Peru. Driver’s licenses are not accepted for this purpose.
If valid passport or entry document information is not provided when required, the service may need to be invoiced under regular local tax conditions, and the 18% Peruvian VAT/IGV may apply.
Your information will only be used for booking, invoicing and legal compliance purposes.
6. Pick-up and Meeting Points
Pick-up is included only when clearly stated in the tour description or booking confirmation. Our regular pick-up areas in Lima are usually Miraflores, Barranco and San Isidro.
Pick-ups from other districts, the airport, Callao Port, cruise terminals or special locations may require an extra fee. For meeting point tours, customers are responsible for arriving at the confirmed meeting point on time.
If the customer arrives late or goes to the wrong meeting point, the service may be considered a no-show.
7. Shared and Private Services
Shared services may operate with other travelers and are subject to fixed schedules, meeting points, group timing and operational conditions. For shared tours, the service cannot be delayed for late passengers.
Private services are operated exclusively for your booking party. Changes to the itinerary, schedule, pick-up point or route must be requested in advance and may involve an additional cost.
8. Shore Excursions from Callao Port
Shore excursions are planned for cruise passengers arriving at Callao Port, with careful timing, port logistics and a strong focus on returning guests to their ship on time.
Port Pick-up and Meeting Point
For security and operational reasons, tour vehicles may not be allowed to enter restricted port areas. When this applies, passengers must meet our team at the confirmed external meeting point, cruise shuttle drop-off point or port access area indicated in the booking confirmation.
Cruise Arrival and Disembarkation
Cruise passengers are responsible for checking their ship’s disembarkation process and allowing enough time to reach the confirmed meeting point. If the ship is delayed, we will make reasonable efforts to adjust the departure time when operationally possible.
On-Time Return to Ship
Our shore excursions are planned with a safe time margin for return to the ship. If needed, Apullay Tours & Travel may adjust the itinerary, shorten certain stops or change the order of visits to prioritize a timely return.
Late Arrival or No Show
Passengers must arrive at the confirmed meeting point on time. If passengers arrive late, go to the wrong meeting point or cannot be contacted, the service may be considered a no-show. For shared shore excursions, the tour cannot be delayed for late passengers.
Port or Cruise Schedule Changes
If the cruise ship changes arrival time, departure time, docking location or cancels the port call, the customer must inform Apullay Tours & Travel as soon as possible. Changes may be subject to availability, operational feasibility and supplier policies.
9. Changes Requested by the Customer
We understand that travel plans can change and will always try to help when possible. Any request to change the date, time, number of passengers, pick-up location, itinerary or passenger details is subject to availability and operational feasibility.
Changes may involve additional costs, especially when tickets, transport, guides, hotels, restaurants, trains, flights or third-party services have already been confirmed.
10. Cancellation Policy for Half-Day and Full-Day Tours
For most half-day and full-day tours, cancellations must be requested in writing at least 24 hours before the scheduled start time. Cancellations made less than 24 hours before the start time may be non-refundable.
No refund will apply in case of no-show, late arrival, wrong meeting point, voluntary withdrawal during the tour, failure to provide required information on time, or refusal to follow safety or operational instructions.
Some services may have stricter cancellation rules due to tickets, meals, boats, special transport, private guides or third-party providers. This will be informed when applicable.
11. Cancellation Policy for Multi-Day Trips and Packages
Multi-day trips, customized programs and travel packages are subject to stricter cancellation conditions because they often include hotels, trains, flights, tickets, transportation, guides and third-party providers.
When a package is confirmed, some services may become partially or fully non-refundable. Cancellation penalties will depend on the cancellation date and the policies of each supplier involved. Apullay Tours & Travel will inform the customer of the applicable penalty and any possible refund, when available.
12. Non-Refundable Services
Some services are non-refundable once issued, purchased or confirmed. This may include Machu Picchu entrance tickets, train tickets, flights, Nazca Lines overflights, hotels with non-refundable rates, special permits, cruise-related services, boat tickets, tickets issued under the passenger’s name and services booked with third-party providers.
If a customer cancels a booking that includes non-refundable services, those amounts will be deducted from any possible refund.
13. Machu Picchu, Trains and Nominative Tickets
For programs that include Machu Picchu, train tickets or other nominative services, availability can change quickly and is not guaranteed until the tickets are officially issued.
These services require correct passenger information exactly as shown on the passport or ID. Once issued, Machu Picchu tickets, train tickets and other nominative services may be non-changeable, non-transferable and non-refundable.
Apullay Tours & Travel is not responsible for extra costs or denied access caused by incorrect passenger details provided by the customer.
14. Weather, Traffic and External Conditions
Some services may be affected by weather, traffic, road closures, strikes, protests, public events, government decisions, sea conditions, airline delays, train delays or other circumstances beyond our control.
When this happens, Apullay Tours & Travel may adjust the itinerary, change the order of visits, offer an alternative route or propose a suitable replacement activity when possible. No refund will apply when the service has been substantially provided or when changes are necessary for safety, timing or operational reasons.
15. Boat Tours, Marine Conditions and Authority Decisions
Boat tours, island tours and sea-related services may be affected by weather, waves, wind, visibility, port restrictions or decisions made by maritime authorities.
If a maritime authority, port authority or supplier cancels or restricts the service for safety reasons, Apullay Tours & Travel will try to offer a suitable alternative, reschedule the service or inform the customer of any possible refund according to the supplier’s policy.
Some boat services are shared by regulation or by standard operation, even when transportation to/from the pier is private.
16. Health, Fitness and Accessibility
Some destinations in Peru may involve altitude, stairs, uneven terrain, walking, heat, cold, long drives or boat movement. Customers are responsible for choosing a tour that matches their physical condition, health and personal limits.
Please inform us before booking if any traveler has reduced mobility, medical conditions, pregnancy, food allergies, dietary restrictions, fear of boats or motion sickness, or special assistance needs. We will do our best to advise and assist, but some experiences may not be suitable for all travelers.
